EcoTeploTrade company is an official exclusive agent/distributor of HeatMatrix Group B.V. (The Netherlands) on the territory of Ukraine.
We are promoting innovative polymer heat-exchanger (HeatMatrix LUVO for gas-gas applications) which can be applied for increasing the efficiency of industrial boilers, (refinery) furnaces, biogas CHP, biomass ovens, incinerators, industrial dryers, spray-dryers, etc.
It is ideally suited to work with flue gasses which are corrosive and/or have fouling in it due to the use of special high temperature and highly corrosive resistant plastic.

Job purpose:
  • Provide administrative support to Management Team (general manager and 11 departments' heads);
  • Organize company events for Kiev and regional offices staff, participate in organization of trainings, workshops;
  • Organize accommodation for foreign company visitors;
  • Provide translation of documents, interpret during the meetings;
  • Participate in HR department projects.

Main responsibilities:

Support to General Manager (foreigner):
  • Organize meetings/business dinners, keep/monitor/update GM's calendar in Outlook;
  • Interpret during the meetings (consecutive English/Russian and vice versa interpretation);
  • Translate documents, articles, emails (Russian/English & English/Russian (Ukrainian));
  • Search for necessary information for meetings preparation upon GM's request;
  • Send email messages on GM's behalf upon request;
  • Arrange visas, business trips (tickets, hotels) and prepare necessary reporting documents in this regard.
Support to Management Team members:
  • Arrange visa support;
  • Order tickets, book hotels and arrange transfers;
  • Register for conferences, control invoice payments, prepare respective reporting documents;
  • Arrange external business lunches/dinners, prepare expense reports on representative expenses for Management Team members;
  • Arrange Management Team meetings (biweekly), take minutes (action list) of each Management Team meeting, follow up with Management Team members for timely update of the action items list by them.
  • Sign documents for staff with GM and Financial Director on daily basis.
  • Accommodation for foreign company visitors:
  • Prepare presentations, schedule and organize meetings;
  • Book hotels and taxi;
  • Organize business lunches.
  • Company events organization for Kiev and regional offices staff, participation in organization of trainings, workshops:
  • Arrange tenders among event agencies in accordance with the company's procedures, participate in negotiations with suppliers;
  • Prepare/arrange execution of the agreements with contractors, control payments;
  • Prepare respective expense reports in relation to the events (orders, programs, cost estimates, etc.).

Requirements (education, skills and experience):
  • Higher education;
  • Knowledge of English language (fluent/upper-intermediate level) is a must;
  • Excellent PC skills (experienced user of Excel, PowerPoint) and office equipment;
  • Knowledge of business correspondence standards;
  • Excellent communication and organization skills, responsible & independent person;
  • Strong prioritizing and multitasking skills;
  • Ability to work under pressure;
  • Experience of work at similar position - minimum 3 years.
